Ellie Family Services needed an electronic health records (EHR) partner to help them manage their data, make reporting easier, and streamline their operations. They wanted a system with a team behind it that aligned with their mission of supporting the mental health and well-being of their clients.  

The Challenge 

In early 2016, Ellie Family Services knew they needed to find a new EHR system. The one they were using was limited in its functionality, and they needed better reports to make more informed strategic decisions. Additionally without the ability to do batch billing, they were losing precious time that could have been spent on client-facing activities. 

Kyle Keller, Co-Founder and Chief Operations Officer of Ellie Family Services, had worked with many EHRs during his career but was reluctant to go with any he’d used before. He and Erin Pash, Chief Executive Officer and Founder, knew they wanted a system that: 

  • Was high-functioning with years of operating experience 
  • Had the features they needed to better serve their clients, such as batch billing 
  • Had a team behind the software who cared as much for their clients as they did 

How Procentive Provided Value 

Kyle first became interested in Procentive because the company was local (Hudson, WI) and when he found out it was built specifically for the behavioral health field, he decided to explore further. 
 
In the end, five features spurred the team to choose Procentive:

One of their favorite things about Procentive was its ability to synthesize reports. Gone were the days of having to analyze documents separately – now they could process information about all claims at one time, giving them a clear picture of their agency’s financial health. 

Impact 

The time savings has been incalculable for Ellie Family Services. No longer do they have to enter data manually, risk making typos, or bill by fax. The ability to produce specific documents has streamlined processes ranging from intake to assessments. 

Beyond getting more time back in their day to focus on client-facing services, the team has also been able to use their data more strategically. The reports housed in Procentive have been really helpful in getting Ellie Family Services the data that they need to help make decisions.
